Job description

Dallas Market Center (DMC) is in search of a creative, organized and energetic Administrative Assistant. This position will provide daily and professional administrative support to the Sr. Vice President of Information Technology. This position will also include coordinating and overseeing a wide variety of administrative duties in support of the Information Technology department.
This position will have access to secure, sensitive data and requires someone who is dedicated to full confidentiality. This role will not be responsible for repairing, giving advice or providing technical support for computers or systems.

Position Description:
-Establishes and maintains efficient and organized day-to-day operations for the SVP of IT.
-Assists the SVP of IT in initiation or completion of assignments or projects resulting from meetings; provides research information, materials, etc.
-Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to others as necessary regarding sensitive/confidential information.
-Screen, prioritize and respond to incoming calls, emails, and faxes to determine their significance and plan their distribution and follow up.
-Assists the SVP of IT in keeping internal and external commitments; keeps calendars up-to-date and schedules appointments.
-Composes and transmits correspondence, reports, and memorandums; independently responds to routine letters and correspondence; proofreads copy for spelling, grammar, and layout, making appropriate changes; responsible for accuracy and clarity of final copy.
-Assists the SVP of IT with audit, inventory, and software compliance.
-Assists with developing job descriptions; composes and prepares documents for job recruitments; provides new employees with IT policies and procedures.
-Responsible for tracking the IT budget including the review of past, current and projected expenditures. This involves meeting with department staff to develop budget estimates and expenditure plans and prepare periodic and annual reports.
-Processes payment of invoices, reimbursement forms, purchase orders, purchase requests for expenditures, expense reports and check requests.
-Coordinates and consults with key departments and personnel to review budget estimates and proposals for capital projects and support services.
-Provides departmental personnel management including, but not limited to: review, processing, and tracking paperwork for all IT staff hiring, leave tracking, payroll processing, and training.
-Reviews and verifies the accuracy of information in documents such as time sheets and PTO.
-Ensures timely and accurate payroll processing for all full-time and part-time IT employees.
-Maintains oversight of part-time and temporary IT staff.
-Prepares agendas, notices, meeting notes and minutes.
-Other related duties as assigned.

Required Education:
-High school diploma or equivalent.
-Some college credit coursework completed.
-Bachelor’s degree preferred.

Required Experience:
-Providing 2-4 years of administrative support in a fast paced environment.
-Duties require excellent professional verbal and written communication skills.
-Strong attention to detail, proactive follow-up, excellent organizational skills, and discretion with confidential information.
-Proficiency in Microsoft Office Suite: Word, Excel, Outlook, PowerPoint.
