ADMNISTRATIVE ASSISTANT

Our client is a prominent investment firm and is seeking a qualified Administrative Assistant to join the fast paced Dallas office.

The Executive Assistant will have an Associate’s Degree or higher, 2 – 4 years of administrative support experience, advanced MS Office skills, and a high get-it factor. This is a phenomenal opportunity to use your executive support experience to take ownership of the position and grow with a dynamic team.

RESPONSIBILITIES

• Manage the day‐to‐day operations of the office.
• Prepare the office at the start and close of the business day.
• Process incoming and outgoing mail, courier service, and various special deliveries.
• Coordinate internal staff meetings, luncheons and office events, as needed.
• Manage the distribution of tickets to multiple local entertainment venues.
• Conduct research and prepare related reports and presentations.
• Organize and maintain permanent files, records, and databases.
• Greet and direct customers, clients, business associates, and guests to the office.
• Maintain appropriate inventory levels of office and kitchen supplies.
• Manage time effectively to meet and exceed deadlines to ensure availability for additional projects.

REQUIREMENTS

• Associate’s Degree or higher.
• 2 – 4 years of Administrative Assistant experience for senior level management.
• Advanced MS Office skills (Word, Excel, Outlook and PowerPoint).
• Strong written, verbal, and interpersonal communication skills.
• Effective time management and organizational skills with a high level of attention to detail.
• Able to work well under pressure and exercise sound judgment and discretion.
• Able to identify opportunities for improvement and assume responsibility.
• Able to work independently and as a team player.
• Able to maintain a professional demeanor and a polished professional appearance.
