Position Description
This position will provide administrative assistance to the Office on Violence Against Women, Administration Division personnel. The Administration Division is responsible for providing high quality, productive and collaborative administrative support in the areas of human resources, security, information technology, records management, procurement, and logistic services to the executives, managers, and employees of OVW in achieving its mission and goals enabling OVW to fulfill its overarching mission of ending violence against women. Your future duties and responsibilities
• Assisting with all administrative aspects of administrative management of the Office on Violence Against Women, Administration Division.
• Providing exemplary customer service, communication and networking skills.
• Respond to and initiate inquiries (questions regarding purchasing, human resources, security, facilities, administration, property, specialized programs, etc.). Explain policies, answer questions, and independently resolve problems whenever feasible.
• Prepare presentation materials for use by others, editing content and adding graphic and design elements. These responsibilities may include creating excel spreadsheets, graphs, fillable pdfs, powerpoint presentations, organizational charts, etc.
• Compose and/or prepare emails, agendas, correspondence, directories, memoranda, newsletters, manuals, stand operating procedures and reports using the Microsoft platform. Must be proficient and able to perform statistical calculations on data for reports, presentations and pdfs.
• Plan, prioritize, coordinate and schedule meetings and appointments for the Administration Division government staff. Make decisions on a daily basis regarding calendars.
• Assist with tracking documents and funding, and serve as a resource for information related to the Administration Division.
• Perform specialized administrative duties required to support the specific program area, using discretion to make judgments based on operating guidelines, initiation security packages, preparing recruitment packages, and maintaining files, records, and information as required.
• Assist with organizing, setting and hosting events for the Office on Violence Against Women.
• Maintain the Administration Division SharePoint portal and serve as the point of contact for all changes and update.
• Support human resource and payroll processes as a liaison contact or backup for webTA, leave tracking, recruitment, onboarding and out-processing, papers, and processes, scheduling applicants for interviews, drug testing and other requirements.
• Support acquisition management by preparing, receiving, and tracking and of requisitions, purchase orders and purchase card requests. Create and maintain an electronic filing system for document management in accordance with the retention schedule.
• Support property and supply management by managing inventory of assets, property, supplies, sourcing for supplies (vendors) and submitting invoices and receipts to the POC for processing. Entering information into the acquisition system, preparing excess paperwork and participating in the bi-annual office-wide property management inventory. Support purchasing requirements for OVW, researching items and obtaining price quotes, entering information into spreadsheets or systems, receiving purchase orders, invoices and preparing them for action.
• Support security by managing OVW security files, preparing, mailing and receiving security packages for staff, interns, contractors, etc. Maintain and update staff Buddy-List, staff emergency contact list and staff notification system.
• Support records management by creating and maintain an electronic filing system for the Administration Division area of responsibilities, to include a chronological filing system.
• Arrange and coordinate travel and travel reimbursement for the Administration Division staff.
• Coordinating between divisions in resolving day-to-day administrative and operational problems.
• Compile and maintain information that may require web or researching, gathering, compiling, and updating data and records.
• Perform other administrative duties as required to support the mission and function of the Office on Violence Against Women. Required qualifications to be successful in this role
