Position Title: Lead Summer Coordinator
Term: Short term

Minimum Qualifications

  1. Demonstrated professional experience in customer service and conflict resolution.
  2. Strong office organizational skills with impeccable attention to detail.
  3. Excellent oral and written communication skills.
  4. Ability to skillfully work in a fast-paced environment with numerous interruptions while maintaining a professional atmosphere and exercising tact and good judgment.
  5. Ability to maintain confidentiality.
  6. Demonstrated experience effectively communicating and working with all levels of employees and/or customers.
  7. Demonstrated ability to work in a team environment as a project lead and a project member.
  8. Ability to explain complex policies and procedures to a variety of audiences.
  9. Must be punctual, reliable, and responsible with a history of consistent work attendance.



Preferred Qualifications

  1. Demonstrated experience working with secondary school students, school personnel, and parents.
  2. Demonstrated experience in an educational or academic environment.
  3. Demonstrated experience working with Apple computers and related software.
  4. Ability to perform public relations functions requiring active problem solving and effective communication skills.
  5. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.


Job Duties and Responsibilities

  1. Answer incoming calls and respond to both routine and non-routine inquiries. Retrieve telephone messages from office voice mail, prepare requested items for mailing.
  2. Greet and assist visitors. Dispense information regarding the ATS program and its policies and procedures.
  3. Provide general administrative and office support to the Directors and senior staff on a variety of projects.
  4. Accept program-related forms by deadlines; review forms for completion and dates incoming forms; maintain records; make follow-up calls when necessary; and communicate policies clearly and succinctly.
  5. Coordinate communication with staff on status of projects in order to be proactive in solving problems and to ensure efficient completion of projects.
  6. Provide leadership and support to on-campus office. Assist ATS faculty and students. Represent ATS to students, parents, faculty, and campus community. Assist students and parents with finding classrooms and university facilities as needed. Evaluate potential problems and brief main office as warranted.
  7. Initiate contact with students and parents when referrals from the Director, staff, and/or instructors require regarding potential issues. Utilize tact and persuasiveness to achieve desired results of understanding and/or cooperation. Responsible for handling parents and families with ATS related problems. Respond to parent and student inquiries as appropriate. Maintain availability for parent/student initiated contact for general advising and support activities. Perform follow-up contact with instructor, student and/or parent as needed.
  8. Manage process of assessing medical problems reported by parents on student application and monitors potential problem areas. Determine student medical situations that require more information from family and initiates contact with those families. Maintain confidentiality of medical information. When appropriate, brief instructors, Director, and/or staff on student background.
  9. Observe students or teachers in the classroom when behavioral issues or classroom management issues warrant observation. Write observational reports. Create a plan to resolve issues and monitors implementation and progress of plan. Brief Director on any recommended action. Create a plan based on observations and work with teacher, student and or family to implement the plan. Monitor implementation and progress of plan. Maintain availability for consultations with teachers with regards to classroom management and ATS related issues.
  10. Manage student attendance matters. Receive daily absence reports from instructors (via ATS Office). Call home within 24 hours to verify each absence reported by instructors and utilizes support staff with phone calling as needed. Review potential attendance problems (absence without parent knowledge or multiple absences) and contacts parents for resolution. Determine which situations require briefing to Director and briefs Director on circumstances, recommended action and/or action taken.
