Objective / Purpose of the Position
Site Coordinator is responsible for ensuring that all Client and facility related needs are met. Responsible for ensuring that all items needed for specified facility locations are purchased, to include linen, blankets, towels (bath and wash), food and toiletries or if needed to be ordered, the appropriate IF personnel are contacted for the larger item needs. The Site Coordinator is responsible for Supervising the facility Site Personnel regarding the daily task needs of the facility.

Tasks / Responsibilities
Supervise and oversee Site Personnel for both Santa Fe Springs and Buena Park Sites: (Site Assistants and Maintenance Site Personnel).

  • Ensure Site Personnel are properly instructed regarding dress code: Black polo or collared shirt, black pants, closed toe shoes, badges.
  • Ensure Site Personnel are properly trained and instructed in their perspective duties.
  • Ensure Site Personnel are familiar with and understand policy and procedures of the facility/site assigned. To include food service site specific, authorized smoking areas, curfew site specific.
  • Will direct Site Staff regarding daily and routine tasks, to include needs that may arise outside of the daily or routine norm.
  • Will instruct Site Personnel on the proper procedures for incoming Clients regarding bed assignment, personal belongings allowed to be retained in Client assigned area, what Client is authorized to have, what needs to be stored or disposed of. Labeling of Client belongings.
  • Will instruct Site Personnel regarding laundry use and Client assignment for use.
  • Will instruct Site Personnel regarding Client exits, to include removal of belongings, sanitizing area utilized by Client during Client stay in program. Notification of transport for Client upon exit, (Self-transport, issue of bus pass/tokens or Staff transport).

Administrative Responsibilities:

  • Maintain Client room tally for rooms utilized at the Coral Motel.
  • Ensure Clients have room assigned prior to arrival Coral Motel.
  • Ensure all Clients arriving to the Coral Motel are checked-in at the Motel Office.
  • Update Client bed assignment whiteboard (Bull Pen), Santa Fe Springs.
  • Ensure Clients arriving to the Santa Fe Springs site have bed assignment.
  • Email daily report of bed and room availability to Referral Coordinator.
  • Ensure all receipts for items purchased and delivered, to include packing slips/bill of ladings are submitted to Facilities Administrator

Santa Fe Springs Location:

  • Conduct daily walkthrough of kitchen, common areas, men and women dorms to include bathroom, shower and laundry areas.
  • Conduct daily walkthrough of outside areas, back yard, storage area (south side of facility), and trash dumpster area.
  • Ensure all areas inside and IF outside areas are clean, all materials maintain in the outside area are placed neatly and stored properly, to include no overflow of dumpster area.
  • Delegate Site Personnel to correct any deficiencies found.
  • Conduct weekly inventory (or as needed), of all supplies and materials.
  • Purchase or order needed linens, blankets, towels, etc…utilized for facility. Clothing and toiletries: prior to purchase, consult with IF warehouse Staff for any items on hand.
  • Place order for food with current distributor as needed.
  • Periodic checks of mattresses, box springs, bed frames for damage or need of replacement.
  • Check dining area refrigerators, Client dry food storage for any needs, to include cleaning and disposal of outdated or abandoned items, items left by exited Clients.
  • Maintain and monitor supply rooms both inside and out, delegating Site Personnel for periodic cleaning and organizing.
  • Maintain calendar for vendor needs, to include maintenance, cleaning and periodic removal of rubbish and debris.

Buena Park Location:

  • Conduct Client room wellness check: Ensure Clients are maintaining their rooms in a neat, clean and orderly manner. Ensure Clients disposing of trash, visually check room and refrigerator to ensure Clients do not have unauthorized items are contraband in room.
  • Ensure Clients are aware of the visitor policy, times, length of visit, no overnight guest in room.
  • Provide Clients with laundry detergent and coins for on-site laundry facility use.
  • Ensure Clients arriving on-site have food and water, to be re-supplied periodically. (Current in place schedule, subject to change according to Client use and need).
  • Ensure Clients arriving on site have bed linens, towels, toiletries.
  • Ensure motel housekeeping Staff is cleaning the rooms, changing bed linens and supplying clean towels.
  • Collect monthly motel billing from motel Manager and forward to Facility Administrator for processing.

Preferred Experience/ Minimum Qualifications

1. Position is promotion from Site Assistant.
2. Must have at least One year Site Assistant Experience.
3. High School Diploma or equivalent.
4. One year minimum previous employment.
5. One year minimum Customer Service related experience.
6. Experience working with the homeless (A plus, but not required).
7. Bi-lingual (A plus, but not required).
