Job description

Objective / Purpose of the Position:

The role of Site Coordinator is to keep the office organized by overseeing the reception area, making the proper referrals to the community either over the phone or walk ins of the appropriate services, documenting and updating google docs, informing staff members of all current events, and collaborating with other agencies to remain up to date on services.

Tasks / Responsibilities:

Client Care

  • Answer phone calls and return all messages.
  • Provide assistance by giving contact information of resources to the community over the phone. Follow up with inquiries accordingly and in a timely manner.
  • Assist and direct clients and walk-ins appropriately.
  • Provide walk-ins and clients with donations from the donation room, if available.
  • Place follow up calls and update notes on homeless status of families on the emergency housing wait list.
  • Coordinate all pre-intake and intake with new clients for all programs.
  • Complete any follow up with past or pending clients.

Administrative/ Record Keeping

  • Input all necessary information by utilizing google docs.
  • Schedule any appointments with the appropriate staff member.
  • Receive rent payments, administer voucher hours and bus passes.
  • Complete any weekly and monthly stats of all programs.
  • Go supply shopping and ensure office and emergency units are supplied.
  • Handle petty cash and process check requests.
  • Enter all new clients in Client Entry using HMIS.

Collaborations

  • Participate in Case Management Team Meetings and staff meetings.
  • Network with other OC service providers.

Abilities/ Knowledge:

1. Ability to work well with a diversified group of individuals
2. Possess a working flexibility and can change pace in order to meet the need of a client crisis
3. Ability to prioritize and handle multiple complex tasks
4. Required experience and/or working knowledge of community and social struggles of the homeless
5. Strong mediation, negotiation, verbal and written communication skills

Preferred Experience/ Minimum Qualifications:

1. Degree in Social Services and/or 2 years experience in the Social Services field.
2. Strong organizational skills and attention to detail
3. Working knowledge of Microsoft Office (Word and Excel)
4. Bilingual (English/Spanish) a plus but not required
5. Must also have a valid driver's license and a good driving record
