The Executive Assistant role is a newly created position that will be based in our Chicago office and support our newly hired Chief Marketing Officer.
Responsibilities
· Handle all expense planning and travel planning, including hotels, cars, and flights
· Manage day-to-day calendar maintenance for the CMO
· Maintain professional and courteous relationships with executives, management team, colleagues, vendors, clients, and guests
· Maintain and archive/filing system (written materials, client information/presentations)
· Maintain contact files and distribution lists with pro-active follow-up
· Create and edit PowerPoint and Excel Documents
· Able to work with several executives simultaneously and develop an organized system for delivering work outputs
· Creating and maintaining “client facing” work-plans and engagement “to-do” lists
· Attending internal and external meetings, as needed, and taking comprehensive notes.
· Interacting directly with clients to ensure meetings run smoothly. This includes:
o Scheduling client meetings
o Managing facility/meeting room bookings
Desired Skills and Experience
· 4+ years of administrative experience, preferably supporting senior executives
· Strength in Microsoft Office XP (Word, Excel, PowerPoint, Outlook)
· Excellent verbal, written and interpersonal skills
· Photoshop and/or Graphic Design experience a plus
· Ability to manage several projects at once and work with minimal supervision
· Ability to meet tight deadlines and work overtime as required
· Highly organized with impeccable attention to detail
· Professional demeanor, presence, attitude, and strong interpersonal skills
· Ability to safeguard confidential information and reports
· Ability to anticipate shifting priorities
· Ability to multi-task efficiently and effectively
· Bachelor’s Degree preferred
