Job description

Provides administrative support in all areas to the Executive Secretary and ensures the efficient and effective operation of that office. Responsible for operational details that allow the Executive Secretary to focus on issues that are more complex and to travel as needed.  May support additional department staff as needed.

Essential duties and specific RESPONSIBILITIES - other duties may be assigned.

  • Organizes and expedites flow of work through the Executive Secretary’s office
  • Conserves Executive Secretary’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Schedules meetings, conferences, and teleconferences. Drafts meeting agendas, edits and distributes AKC Board and AKC Museum of the Dog Board meeting minutes.
  • Welcomes and assists guests on site and assists customers on the telephone; answering, directing, or resolving inquiries.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Works closely with AKC Delegates, assisting them as needed. Processes applications for new Delegates, adds and end dates Delegates in our data system and updates any contact information changes. Drafts the agenda and compiles information for their quarterly meetings. Writes meeting scripts and edits post Delegate meeting transcripts and minutes.
  • Compiles and reviews memos for Executive Secretary and Consent Sections of the Board Book and ensures that the Executive Secretary has access to the finished book. Edits Board minutes and inputs changes as submitted by the Board and CMC.
  • Responsible for many aspects of in the following award programs: Outstanding Sportsmanship Award; Lifetime Achievement Awards, Breeder of the Year and AKC Awards of Canine Excellence (ACE). Writes copy for ACE and Breeder of the Year pages in the National Championship catalog and show guide. Writes the presentation speech for the Lifetime Achievement Award. Provides necessary information to award recipients and is in frequent contact with them to answer questions, review travel arrangements and accommodation needs at the National Championship.
  • Writes the ACE and Breeder of the Year presentations for the National Championship script.
  • Monitors our security system and creates key cards for new employees.
  • Assists with office maintenance and liaisons with building management.
  • Coordinates and works on special projects and mailings as assigned by the Executive Secretary.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Prepares reports and presentations by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems.
  • Contributes to team effort by accomplishing related results as needed.
