Our client, an entrepreneurial Private Equity firm, is looking to hire an Executive Assistant to support two Managing Directors and four Principals. The role is dynamic and involves reception and administrative support. The firm specializes in retail and consumer investments. Responsibilities of Executive Assistant:
- Support two (2) Managing Directors and four (4) Principals with calendar management, travel planning, expenses, and other daily administrative tasks
-Recognize that many of these team members have not had the benefit of administrative support before. They will need help in understanding how this position can make them even more effective in their daily work
- Partner with other members of the administrative team
- Prioritize meetings and coordinate calendars across the different members of the team
- Ensure that the back office is clean and stocked (kitchen, copy room, printers, conference rooms)
- Support other associates in the firm as needed
- Serve as back up to the Receptionist, answering the main line and greeting guests in her absence
- Serve as primary back up for the Office Manager when she is out
- Assist team members with IT or equipment needs
- Order office and kitchen supplies, maintain inventory
- Oversee maintenance and construction projects
- Accommodate vendors, repair technicians, building workers as needed
- Actively participate in and support all firm functions and activities
Requirements of Executive Assistant:
- Bachelor’s degree required
- At least five (5) years of experience as an Executive Assistant within financial services
- Strong MS Office skills (Word, Excel, PowerPoint, and Outlook)
- Outstanding organizational and time management skills
- Strong verbal and written communication skills
- Exceptional attention to detail
- Ability to take initiative and ownership without being asked
- Disciplined and organized in both personal and professional lives
- Excellent judgment and common sense
- Discretion and utmost respect for confidentiality
- Verification of identity, education, prior employment, and references may be required
